National Lutheran Communities and Services Administrative Support Clerk - Full-Time in Winchester, Virginia

C.N.A. License required. CMA License preferred

In accordance with National Lutheran’s We CARE philosophy, the Guiding Principle Core Values, and in alignment with the NLCS culture, the Administrative Support Clerk is responsible and accountable for the following:


  • Reporting to the Director of Nursing the Administrative Support Clerk performs administrative tasks in support of Nursing Services including scheduling, departmental payroll processing, record keeping and day-to-day administrative functions.
  • Assists with all administrative and medical record responsibilities Provides administrative support to the Nursing Department
  • Owns the staffing scheduling process for the Nursing department to include; creates staffing schedules for Nursing Department, calls nursing staff for shift coverage as needed, completes and posts daily staffing information, and serves as point of contact for questions regarding scheduling
  • Monitors, maintains files and records of scheduled staff leave requests and reported overtime, absences and tardiness within the Nursing Services Department
  • Receives and reviews all request for exempt and nonexempt nursing vacation, personal leave, and PTO; in collaboration with DON, approves or denies request based on staffing needs
  • Reports staffing status to Director of Nursing
  • Partners directly with Payroll regarding reports and payroll processing as requested
  • Maintains an adequate supply of office and clinical supplies
  • Assembles and maintains complete admission and discharge/transfer packets
  • Audits new admission charts and thins clinical records on a routine basis
  • Assist with on-call and work the floor as needed.
  • Audits current and discharged resident medical record using Quality Improvement audit tools Assists with review of triple check for lab and medication billing
  • Reviews Electronic Health Record for documentation of immunization records
  • Assists in the establishment and coordination of quality assurance surveys
  • Responds to resident needs and emergencies as required
  • Performs other duties as assigned JOB QUALIFICATIONS:

  • One year of experience as a scheduler/ administrative assistant in a Long Term Care or Assisted

  • Living setting preferred
  • C.N.A. License required. CMA License preferred
  • Must be able to work flexible hours
  • Must be able to read, write and speak English proficiently
  • Possess strong computer skills, including being proficient in MicrosoftOffice
  • Experience with other electronic productivity tools and electronic health records desired
  • Must be able to relate to residents and staff in a confidential, courteous, and diplomatic manner under all circumstances
  • Must possess strong written and oral communication skills; able to maintain confidential information
