Job Description:

• Coordinate all administrative duties within the Fleet Maintenance Department

• Maintain all vehicle specific information in the Fleet Maintenance software system (M5)

• Communicate with state licensing agencies for application of titles, registrations, replacement license plates, permits and PA State inspection stickers

• Distribution and tracking of licensing credentials for all company owned vehicles

• Maintain and monitor EZ Pass accounts with multiple agencies. Distribute and track all transponders. Reconcile monthly invoices and submit for payment

• Maintain equipment documentation from in-service to disposal

• Prepare and submit annual documents (i.e. 2290 Highway Use Tax form, IFTA, Smartway, insurance, etc.)

• Prepare and maintain accurate reports (daily, weekly, monthly, yearly) regarding department activities

• Track all revenue vehicle breakdowns, enter events in Fleet Maintenance software system, reconcile invoices, and prepare monthly and annual reports

• Coordinate required documentation for occasional lease and rental agreements

• Other administrative duties as required


Job Requirements:

• Requires excellent computer skills (MS Office applications), with advanced knowledge of Microsoft Excel

• Ability to multi-task and prioritize work

• Must be extremely detailed oriented, thorough and capable of maintaining accurate computer files

• Requires effective communication skills to interact with various state agencies and other company personnel

• Experience with vehicle registrations and permits preferred but not required
