Provide administrative support in all areas of human resources including recruiting, benefits, training, employee assistance, recordkeeping compliance, safety, and special projects while maintaining a workplace environment consistent with the values and mission outlined by executive leadership of Ventura Foods, LLC
Assist employees with questions and concerns. This includes benefit information and operation of the kiosk. Continually strive to improve processes and/or procedures for HR in line with the changing needs of the HR department.
Schedule & conduct New Hire Orientations including preparing & maintaining all necessary forms and benefit information. Insure all items are complete per the New Hire Checklist. Process all benefit information in Secova.
Assist HR Manager with reviewing applicants in MSP, maintaining status updates in the system, schedule interviews and insure that all pre-employment screenings of external candidates, i.e. background check, drug & alcohol tests, and pre-employment physical are scheduled & completed.
Complete all non-exempt employment & compensation related requests (Workers Compensation, Long Term Disability, Loan documentation) Assist in the response to Unemployment Claims for non-exempt employees.
Maintain employee personnel and medical files per Ventura's filing template. Review I-9 documents and maintain file as required. Perform an annual I-9 Audit. Maintain all employee changes including address, phone, department, job title, status changes, and salary changes in Ultralink Census excel spreadsheet, this includes uploading the information into Secova our benefit website, as well as in ADP and the HRIS system.
Prepare HR reports and analyses as requested including Safety Incidents, 401K audits, and EEO reports. Prepare month end reporting including Admin Notes, Headcount Report, Monthly Safety Report.
Assist in planning, managing, and communicating of special projects and employee events. This may include open enrollment, employee recognitions, trainings, employee wellness, employee meetings, Employee Appreciation Week, Christmas Party, Annual Picnic, etc.
Update and maintain both non-exempt and union employee's attendance records to ensure compliance with our Attendance Policy. Provide information to HR Manager, Dept. Managers and/or Supervisors when violations of policy occurr. Assist with all FMLA paperwork and tracking, as well as Workers Compensation.
Assist and provide backup support in preparation and updating of HR and Safety trainings in the Alchemy training system.
Support payroll requirements in regards to insurance, union dues, updating employee change in ADP/AS400/Kronos, maintaining seniority listings, and other duties as assigned.
High School Degree or GED equivalent. Minimum of 2 years experience in human resources or payroll administive support role.
Ability to respect nd maintain the confidentiality of the Human Resources department at all times. Above average communication skills that maintains a positive professional image under pressure. Computer literate with experience in Excel, MicroSoft Word, and PowerPoint. Working knowledge of basic principles & practices of HR or Payroll administration. Above average people skills.
