This position will provide administrative support to the operations and sales activities for a regional office of ORR Protection. This role assumes responsibility for the general office administration in a region.
ESSENTIAL DUTIES AND RESPONSIBILITIES
All team members must embody the company mission to provide protection for people, property, and the environment in all aspects of their job.
Set up new service jobs- install, routine maintenance and emergency.
Keep information up to date in Fields Service Management (FSM) system and accounting/inventory systems.
Communicate with regional operations and service partners to obtain budgets and schedules for inspection and test services.
Communicate with regional operations on emergency service request and dispatch as needed.
Run financial reports to assist sales and operations in meeting client budgets.
Create Purchase Orders in accounting/inventory system.
Process receipt of goods and invoices in accounting/inventory system.
Review material requisitions for clarity, completeness, and signature authorization per ISO Quality System.
Process material requisitions, part orders or a purchase orders with the approved vendor, supplier or subcontractor. Communicate orders to vendors, suppliers and subcontractors.
Maintain filing systems including: install job, service jobs, purchasing and other files.
Prepare correspondence to customers to support, project, service and sales activities.
Support project documentation requirements including assistance in the preparation of operations and maintenance manuals.
Provide phone support including switchboard operator activities, answering incoming calls and directing them to the appropriate function.
Offer assistance in other business functions when needed, such as the warehouse.
Support regional managers and sales account managers in preparation of proposals, marketing literature, and coordinating sales and marketing activities, including client business reviews.
Pursue sales of spare parts directly with the customers.
Assist & follow-up on accounts receivables and call on past due accounts.
May be required to oversee activities of other ORR personnel or temporary labor in the coordination of administrative activities.
Other duties as assigned.
MINIMUM EDUCATION AND/OR EXPERIENCE
High school diploma or equivalent education, required.
Associate degree in business, fire protection or related field, preferred.
1 year experience in office administration, preferred.
6 months experience in purchasing and inventory systems, preferred.
KNOWLEDGE, SKILLS AND ABILITIES
Ability to understand and operate in an automated FSM & accounting/inventory systems.
Strong computer and Microsoft office skills.
Ability to communicate well in writing and verbally with customers, vendors, suppliers and subcontractors.
Ability to work independently as well as in a team environment.
Ability to take direction and work closely within all aspects of regional operations, dispatchers and sales personnel.
Ability to multi-task and cope with fluctuating needs.
This role functions primarily within an office setting but may require time within a warehouse setting occasionally to provide backup.
All associates are required to pass a drug screen, background check and motor vehicle report.
