Family Resources is looking for an individual who is a quick thinker, tech savvy, likes to take initiative and who is driven in customer service. Our Administrative Assistant will initiate and maintain confidential client files and perform data entry and statistics regarding client files. The Administrative Assistant will have to answer multiple line telephones and provide clerical support to the assigned location. Perform a variety of functions which involve the activities of the various programs and departments at that location. This position will perform skilled clerical work and work of an extremely confidential nature. The ideal applicant will need to be flexible to provide coverage for other office support staff.

Part-time hourly position

Position Hours: Monday (1:00 pm to 8:00 pm), Tuesday (1:00 pm to 8:00 pm), Wednesday (1:00 pm to 5:00 pm), Thursday (1:00 pm to 5:00 pm) and Friday (9:00 am to 12:00 pm)

Position located out of Davenport office, however may need to cover Muscatine office on occasion (mileage reimbursement available)


  • Enter data from a variety of formats into client software database.

  • Type letters and/or reports for staff

  • Coordinate data needed by accounting

  • Conduct client surveys

  • Set up new client files and follow-up on missing paperwork

  • Collect outcome data (as requested)

  • Assistance with client software database management

  • Scheduling management

  • Intakes

  • Funding verification and entry

  • Ordering supplies

  • Prepare materials for file review audits

  • Special project support upon request

  • Back-up to other support staff

  • Keep common areas including waiting room and front desk area clean and tidy

  • Scanning client files

  • Other duties as assigned


  • Works and communicates with internal and external clients and customers to meet their needs in a polite, courteous, and cooperative manner. Committed to quality service.

  • Must be able to keep records and maintain alpha, numeric, and subject matter files with a high degree of accuracy.

  • Ability to operate computers and knowledge of general office equipment is required.

  • Excellent communication skills both orally and in writing with the ability to maintain a professional demeanor when dealing with diverse types of people.

  • Displays a high level of initiative, effort and commitment towards completing assignments efficiently. Works with minimal supervision. Demonstrates responsible behavior and attention to detail.

  • Ability to answer and route multi line switchboard in a prompt and courteous manner.


**Must be at least 21 years of age and possess a High School Diploma or GED. Ideal candidate will have 3 years of full-time clerical experience or closely related work; or an equivalent combination of education and experience, substituting an Associates Degree.

Must be able to comfortably use the following technology equipment on a daily basis:

  • Multi line switchboard

  • Fax/Copy machine

  • Credit Card Machine

  • Networked computer including Microsoft Office, Client software database, and internet
