Job Description

We currently have an exciting opportunity for a Senior Administrative Assistant to join Gilead Stockley Park, supporting the EMEA Commercial Finance team.

The Senior Administrative Assistant duties include:

  • Organization of extensive Global travel arrangements.

  • Multiple complex diary management.

  • Responsible for coordinating various events which includes the planning, organizing and implementation of a number of event activities. This can range from numerous small internal meetings to large internal events

  • Track and build meeting agendas, minute taking and distribution to attendees of pre-work requirements, agendas and minutes in a timely manner.

  • Management of Purchase Order creation, tracking and receipting.

  • Process team expenses.

  • Acts as a resource to other administrative assistants and is cross-trained to cover for another administrative assistant if he/she is out of the office for an extended period of time.

  • Support with specific projects workload involving multiple large projects/timelines.

  • Understands the goals and objectives of the entire department and contributes to the attainment of those G&O's.

  • Prepare materials for the Team prior to meetings to ensure readiness for meeting attendance where required / appropriate.

  • Prepare and design presentations as required (or from draft version given by team)

  • Assist will additional adhoc duties when required (maintaining filing and offsite archiving).

Knowledge, Experience and Skills:

  • Proven administration experience within a fast paced International organization supporting Senior Level Management.

  • Forward thinking with excellent communication and high level organisational skills.

  • Experience with data management and MS Office (advanced Excel & PowerPoint).

  • Additional EU language beneficial (Business level oral & written).

  • This role requires high levels of accountability, integrity and the ability to be an excellent team player.

  • You will be comfortable working with ambiguity in an individual or team environment.

  • Resilience under pressure will be a distinct advantage in the role.
