POSITION TITLE: Artistic Operations Assistant

REPORTS TO: Artistic Operations Manager

POSITION SUMMARY

The Artistic Operations Assistant provides operational and administrative support to the Artistic Operations team and serves as the primary liaison to the Music Director. This position works closely with the Artistic Operations Manager, with an emphasis on Live at Powell Hall presentations, orchestra calendar and Artistic Operations database administration, inter-departmental communications and logistics, orchestra auditions, and support for media and touring activities and other special projects.

FUNCTIONS OF THE JOB

  • Coordinate artist contractual requirements for Live at Powell Hall productions including air/ground transportation, hotel accommodations, dressing room needs, hospitality, catering and other related itinerary details. Collaborate with the Artist Liaison to coordinate runner and driver schedule.

  • Serve as the primary liason to the Music Director, providing administrative support including but not limited to calendar management, scheduling, transportation, accommodations, hospitality, and other logistics.

  • Participate in a rotation of artistic concert and driving duty, attending SLSO rehearsals and performances as needed to ensure adequate support to artists and coordinating artistic duty rotation scheduling.

  • Draft and facilitate the timely routing, execution, and administration of Live at Powell Hall, touring, and runout contracts as assigned.

  • Coordinate and interact with various departments and sub-departments within the SLSO at production meetings, ticket inventory meetings and other meetings as assigned, taking notes and facilitating subsequent concert-specific communications.

  • Manage the scheduling of Artistic and Operations department and musicians’ committee meetings, drafting agendas, participating, taking notes, and distributing minutes as needed.

  • Assist with the administration of the Orchestra’s calendar and electronic media activities and initiatives including broadcasts, commercial recording projects, and donor CDs.

  • In collaboration with and under the supervision of the Artistic Operations Manager, assist with preparations for SLSO runouts, tours, Opera Theatre of St. Louis collaborations, and other special projects. Assist with day-of logistics for projects outside of Powell Hall as assigned.

  • Support the administration of the orchestra’s database systems and related inter-departmental communications

  • Process departmental invoices, expense reports, and attendance sheets.

  • Provide general administrative support for the Artistic Operations department, assisting VP and General Manager, Director of Operations, Artistic Administrator, and Orchestra Personnel Manager as assigned.

  • Assist with the creation, production, and running of supertitles.

  • Perform other duties as needed or directed.

Skills & Requirements:

KNOWLEDGE: Familiarity with symphony orchestra artistic and general operational practices, and orchestral repertoire and artists. Familiarity with reading and following music is required. Proficiency in a PC network environment and with Microsoft Office software required. Familiarity with orchestral databases is preferred.

EXPERIENCE: A bachelor’s degree in music or arts management and/or previous related experience with a professional orchestra, opera company, or music festival is preferred.

Candidates must possess a valid US drivers license.
