The Prospect Researcher role is part of the Advancement Services (AS) team and reports directly to the Director of Prospect Management and Research. The AS team manages and analyzes an extensive donor/prospect database with 500,000 constituent and prospect records. AS helps maintain and strengthen the Philanthropy infrastructure while stressing the importance of quality data collection, centralized acknowledgement and gift handling, outstanding prospect management and research, valuable analytics and reporting, innovative software integration, campaign readiness, and database administration and integrity.

This position contributes to the maintenance and growth of sound prospect management and research best practices. These practices lead to accountability, close coordination, and strategic management of prospects through the development cycle. This position helps ensure the timely collection and maintenance of prospect data, in order to meet the needs of a campaign and frontline fundraisers for a steady stream of prospects and analysis of growth opportunities. The Prospect Researcher manages his or her own workload, assists the director, and contributes to the growth of the Prospect Management and Research Team.

  • Adhere to and show an understanding of the organization’s prospect and portfolio management procedures.

  • Demonstrate knowledge of portfolio management best practices around the donor cycle, proposal statuses, and understanding of the link between the two.

  • Act as a resource for fundraising and support staff in the proper data entry procedures into Raisers Edge. Manage and disseminate reports focused on the solicitation pipeline. Aid in the updating of proposal data in order to ensure that campaign fundraising projections are accurate.

  • Updating portfolio assignments as needed, as well as reporting out on the changes to frontline staff.

  • Assist in the development of prospect management reports that use prospect stage data. Be an active part in the continued maintenance of and development of refinements in this data, acting as a resource for best practices in PM reporting and process for Philanthropy staff.

  • Create timely, strategic briefings on major gift prospects, which include analyses of donor gift capacity, philanthropic motivation/interests, timing of gift, engagement with the Hutch, and factors affection wealth. Identify critical information that may be missing that could guide engagement efforts.

  • Negotiate with fundraisers on the feasibility and scope of research requests.

  • Review news for business and development trends and monitor news about key prospects for potential impact on cultivation and solicitation.

  • Assist in making recommendations for the placement of prospects in particular gift officer portfolios through the use of basic research data (capacity, philanthropic giving to others, etc.)

  • Review and screen new leads that are generated from gift reports; assist in the development of new reports and processes by which to identify prospects at all capacity levels.

  • Maintain and generate PMR team productivity reports. Assist in the development of new reports for tracking PMR contributions and successes.

  • Manage and maintain the teams’ requests and projects queues, assist in managing the work flow, offering support as needed. Management of SmartSheet queries for PR and PM.

  • Maintain and administer the use of ResearchPoint software for weekly and ad-hoc screenings of prospects, act as team point-person for its use and training, manage data uploads from RP to RE, and act as liaison with Blackbaud as needed.

  • Maintain attribute and other data in Raisers Edge in support of PMR team activities.

  • Be able to distinguish general campaign phases and to describe the role of the PMR team in supporting campaign objectives to other philanthropy staff. Demonstrate knowledge of campaign goals and priorities.

  • Assist in creating projects to identify prospects for key campaign initiatives, and help manage the infrastructure to keep the best prospects moving into portfolios.

  • Assist in the development of PM reports for the campaign.

  • Work collaboratively with the entire PMR team of research professionals.

  • Safeguard the confidentiality of donor information always.

  • Bachelor's degree.

  • Three or more years of database support experience, with good analytical and problem solving skills.

  • Strong organizational skills, with ability to prioritize projects and be flexible as needed.

  • Strong computing and online research skills, proficiency with Microsoft Office Suite, and relational databases. Ability to learn new computer applications.

  • Strong ability to synthesize and summarize relevant information into coherent narratives that guide strategy.

  • Strong written and verbal communication skills, attention to detail, and an aptitude for critical thinking.

  • Ability to interact with all Philanthropy staff, including being collaborative and diplomatic.

  • Demonstrated ability to work in a team environment and meet goals in a timely manner.

  • Commitment to professional ethics and confidentiality are required.

  • Raiser’s Edge/RENXT experience preferred.

  • Experience in prospect research and management, within a healthcare or education organization preferred.

  • Experience with SmartSheet helpful.
