Event Assistant I

Alliance Defending Freedom is looking for a highly skilled Event Assistant I, located in Scottsdale, AZ. As the Event Assistant, you are a vital part of the Events team. In this role, you will report to the Event Manager and are responsible for supporting the internal teams with various types of pre-event preparation and administrative tasks.

Your Essential Responsibilities:

In this position, you will:

  • Support event coordinators with pre-event operational planning, client management, and clerical support. Activities include but not limited to researching best vendors for events; handling travel arrangements and hotel reservations for guests; managing facilities requests; creating of nametags and tent cards; ordering snacks/beverages or placing catering orders for small events; sending out the ADF display and the booth; running errands for the Events team; and other event housekeeping and support activities

  • Assist other internal teams with event preparation as needed

  • Assist/operate small in-house events – CEO Monthly Birthday Desserts, Webinars, Team Trainings, ADF Wide team desserts and lunches, Octoberfest, Open Enrollment, and Going away parties

  • Help set up and tear down for events

  • Assist event coordinators with rooming lists and ground transportation arrangements.

  • Complete clerical tasks such as completing monthly expense reporting, preparing check requests for vendor payments, honorariums and travel reimbursements, and managing Event emails

  • Keep Event Team calendar current with all upcoming events and maintain team calendar with all upcoming deadlines – rooming lists, BEOs, etc.

  • Assist in event system functions such as Contract Management System, EventForce, Wrike, and Cvent

Skills you need to succeed:

Knowledge of:

  • Organization's policies, standards and procedures guiding ADF Brand

Demonstrated proficiency in:

  • Microsoft Office software: Word, PowerPoint, Excel, and Outlook

  • Excellent communication skills, including writing, proof reading skills, and speaking

  • Excellent interpersonal skills- high level professionalism with a variety of individuals such as ministry friends, guests, attorneys, team members and vendors; strong networking skills

  • Excellent organizational skills

  • Excellent planning skills to determine flow of events and anticipate needs such as staffing

  • Diligent research skills

  • Fantastic customer service ethic and high expectations for quality

Ability to:

  • Take initiative and be a forward thinker.

  • Learn new technology systems.

  • Serve the needs of the team with humility and positive attitude

  • Travel as needed (this will be minimal)

Education and/or experience:

  • 2+ years of administrative assistant experience desirable

  • Desire to learn and grow in the Event services

  • Bachelor’s degree preferred; significant work experience can substitute for the degree
