Description Project Coordinator/Administrator

Job Description:

Our Client is looking for a Project Coordinator/Administrator to assist with project activities from initiation to completion. Provides administrative and logistical support including meeting arrangement, project tracking and documentation.

Essential Duties and Responsibilities (Other duties may be assigned): To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Work directly with the Project Manager for key coordination and team support activities

  • Provide support for client help desks

  • Coordinate small projects and special initiatives as needed and directed by the project manager or client

  • Work with multi-disciplinary teams in identifying opportunities to improve process, communications, and tool utility within the organization

  • Conduct coordination activities across teams and clients including booking meetings and coordinating access

  • Plan, arrange, and execute customer facing and internal meetings on and offsite via web conferencing tools

  • Scribe as required document meeting minutes and action items

  • Support the production of documents such as agendas, reports, SOPs, spreadsheets and PowerPoint presentations in a timely and accurate manner

  • Create and manage comments, updates, and feedback for a variety of presentations, complex reports, confidential correspondence, and files

  • Coordinate meeting details (scheduling, setup, ordering of food, and other associated tasks)

Experience and Qualifications:

Qualifications

  • Minimum of 3 - 5 years of related experience, assisting in the preparation and analysis of project documents and work products

  • Service oriented mindset

  • Superb oral and written communication skills

  • Excellent interpersonal and listening skills

  • The ability to work in a fast-paced, dynamic and diverse environment with changing priorities

  • Ability to identify process gaps and initiate improvement opportunities within areas of responsibility

  • Excellent organizational skills and ability to manage time effectively and efficiently

  • Demonstrated ability in developing exceptional customer and internal stakeholder relationships

  • Excellent PC skills (MS Word, MS Excel, MS Project, MS PowerPoint)

Preferred Skills:

  • Understanding of Federal government contracting environment

  • Understanding of Agile Scrum methodologies

Education, Certifications and/or Memberships

  • Bachelor's degree in Information Technology, Information Systems, Public Policy, Public Administration, or a related discipline

Communications Skills

This job requires interaction with program manager, tech lead, co-developers and end-users. The ability to effectively communicate ideas and concepts both verbally and in written documents is critical.
