Detailed Job Description:
The Senior Staff Assistant is responsible for providing administrative support to the team members in the Office for Diversity & Inclusion along with budget support to the Financial Director. This position also serves as the back up to the Administrative Assistant to the Vice President & Associate Provost for Diversity & Inclusion.
Provide administrative support to the Office for Diversity & Inclusion Team and the RIT Minett Professor as requested. Serve as the back-up to the Administrative Assistant to support the Vice President & Associate Provost in her absence.
• Schedule meetings and room locations, request interpreting services as needed.
• Assists with travel coordination for conferences and training
• Handle and distribute incoming mail
• Ensure that office supplies are ordered and stocked as necessary
• Keep area organized on-going basis to ensure that office is welcoming and professional
Assist with logistical planning of Office for Diversity & Inclusion events – this may include requests for D/DHH interpreting services, catering, parking, Hub services, Tech Crew, FMS, signage etc.
• Draft invitations, letters and correspondence
• Track and organize RSVP information, name badges, etc.
• Create and maintain data bases for various programs & projects
Support Financial Coordinator in:
• Reconciling monthly department procurement card purchases in PNC making appropriate account number changes in the PNC system and preparing and submitting monthly statement.
• Assist with running and reconciling monthly Oracle budget statements to include tracking down missing receipts for MCAS, ODI, FSP, and OFRR as needed.
• Process invoice payment forms
• Assist with processing of Travel Expense Reports
Serve as the Office’s primary intake contact to RIT internal and external constituents.

Required Minimum Qualifications:
Three to five years in an office environment performing a range of administrative functions.
High School Diploma or General Education Degree (GED) required
Associate Degree in Business Administration or related field preferred.
Excellent customer service skills
Strong written communication skills including proofreading and document creation
Strong oral communication skills and customer focus, tact and diplomacy
Problem solving abilities including the ability to manage multiple tasks/projects and change priorities in a fast-paced environment
Ability to work with diverse individuals at all organizational levels
Attention to detail in all responsibilities
Flexibility and willingness to assume new tasks or special projects as requested
High level of integrity and trust for confidential matters
Willingness to learn American Sign Language (ASL)
