The ASE Deans’ Office Secretary assists with day-to-day operations of the Deans’ suite. With minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for Deans and Senior Administrators. The Secretary prepares the suite daily and serves as first point of contact for the suite, welcoming guests and triaging calls received; manages the suite’s conference room and proactively monitors the calendar for scheduling conflicts. The Secretary oversees the processing of Personnel action Forms, ensuring routing to the correct Senior Administrator and that forms are recorded within a timely manner. The Secretary also provides additional support and backup to the three Administrative Assistants with the Deans’ suite.
Requires two years of post high school education in secretarial studies or the equivalent and at least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation; or a combination of formal training and experience.
Strong oral and written communications skills are essential. Strong Microsoft Office skills including Word and Excel.
Candidate must be flexible and work well in a team environment. Ability to work in a fast-paced environment is essential. Ability to multi-task required. Demonstrated skills related to achievement of customer satisfaction. Must maintain confidentiality.
