Kelly Services Business Services Administrator in New York, New York

Kelly Services is currently seeking a Business Services Administrator in New York, NY for a global real estate firm. Pay is $18 an hour . Your primary responsibilities will be administering and coordinating office operational processes and programs to support the business unit. Under the direction of a business unit leader, provides support related to budgeting and expense control, HR administration, office facilities and day-to-day operations.

This position is temporary and lasting 3 months with possible extension

Duties:

\t

  • Monitors department operations and procedures related to budget, financials, office expenses, personnel, information management, filing systems, requisition of supplies, and other administrative services\t

  • Monitors business unit expenses and budget. Researches and resolves expense concerns to ensure accurate reporting and payment\t

  • May assist in developing operating budget by preparing historical summaries or researching costs\t

  • Reviews work processes to ensure compliance with business standards and to identify work improvements\t

  • Works with others to develop improvements to create timely and efficient workflow for the department\t

  • Maintains appropriate records to support the business unit\t

  • Provides various coordination efforts with respect to the documentation and closing of real estate transactions, including sales, purchases and leasing\t

  • Comprehensive knowledge in the due diligence process\t

  • Creates, composes, and edits written material such as transaction documents, closing documents, including, but not limited to estoppels, confidentiality agreements, contract exhibits, and/or other legal documents\t

  • Reviews title commitments, title documents, surveys and third-party reports\t

  • Ensures all pre-closing preparation, and post-closing follow up is properly completed in a timely manner\t

  • Ability to organize data, both hardcopy and electronic, for easy filing and retrievability\t

  • Proven ability to problem solve, think independently and tackle projects with minimal supervision while maintaining timely and efficient organization\t

  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of departmental records\t

  • Maintains office equipment and supplies for the business unit\t

  • Researches, recommends and arranges installation of equipment replacements or upgrades\t

  • May train departmental employees on use of software applications and pertaining technology\t

  • Coordinates meetings and events for the unit\t

  • May arrange for meeting services such as site selection, catering, etc.\t

  • Prepares and ensures availability of materials to support the event or meeting objectives\t

  • Reviews and maintains contract file appropriate for the business\t

  • May negotiate contracts and terms with customers and outside vendors\t

  • Interprets policy and procedures for the assigned department.\t

  • May provide informal assistance such as technical guidance and/or training to coworkers\t

  • May coordinate work and assign tasks

Requirements:

\t

  • High school diploma or GED required\t

  • Minimum 5 years of related experience\t

  • Bachelor's degree preferred\t

  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence\t

  • Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor\t

  • Ability to effectively present information to an internal department and/or large groups of employees\t

  • Requires basic knowledge of financial terms and principles\t

  • Ability to calculate simple figures such as percentages\t

  • Ability to understand and carry out general instructions in standard situations\t

  • Ability to solve problems in standard situations\t

  • Requires basic analytical skills\t

  • Intermediate skills with Microsoft Office Suite
