CHG is seeking an experienced, passionate, and dedicated Executive Assistant to provide comprehensive administrative support to the Vice President of marketing and communications. The candidate will be a representative and liaison to the executive and the department’s senior management team.

  • Manage with excellence email, multiple calendars, and incoming phone calls

  • Participate in internal and the occasional external meeting, prepare agendas, take and distribute meeting notes and coordinate meals for onsite meetings when needed

  • Research, prioritize, and follow-up on incoming issues and concerns addressed to the VP, including those of a sensitive or confidential nature

  • Provide a bridge for smooth communication between the VP and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff across the company

  • Handle confidential matters with discretion and confidence

  • Prepare documents, spreadsheets, correspondence, presentations, and reports as requested

  • Establish purchase orders and process invoices for VP and Directors in collaboration with Purchasing and Accounts Payable departments

  • Have at least 3 or more years of experience in an administrative role supporting a Vice President or other executive-level position preferred

  • Have a bachelor's degree or equivalent work experience

  • Possess strong proficiency in desktop applications, database management and reporting, graphics and presentations, spreadsheet development and reporting

  • Have advanced experience Microsoft Office Suite required

  • Possess excellent organization and prioritization skills with the ability to work independently

  • Have excellent written, oral, grammatical and composition skills

  • Exude professional poise, judgment and problem-solving skills

  • Are outgoing, friendly, and service-oriented with previous experience interacting with executive level managers and directors

  • Are naturally curious, supportive, and empathetic

  • Have strong attention to detail

  • Exhibit initiative and consistent follow-through

  • Have the ability to build strong working relationships across the organization at all levels

  • Have the ability to work well under pressure with short deadlines, with ability to change work direction or priorities quickly
