Berry Appleman & Leiden Client I-9 Specialist - BAL159 in Menlo Park, California

The Client I-9 Specialist participates in all aspects of day-to-day employment verification services at a designated BAL client site. Creates, maintains, and improves onsite coordination of I-9 services by BAL to the designated client location. Works with the client and on site I-9 Representative team with reporting and special projects, reporting to the legal teams, and training of new I-9 Representatives on client specific processes/protocols.

In addition to completing day-to-day employment verification services at the designated client site, this position oversees the functional responsibilities of each I-9 Representative team member to ensure the necessary tasks are being completed. The Client I-9 Specialist position maintains and improves relationships with key stakeholders at the client site by initiating and improving client I-9 escalation processes. Oversees special project (audits/remediation) as related to daily on-site I-9 activities.

Under the supervision of the Compliance Operations Manager:

  • Represent BAL on site at a designated client site for the purpose of providing I-9 program support.

  • Responsible for managing the employment eligibility verification process following state and federal guidelines. This includes working with the client to improve upon all I-9 processes and escalation procedures.

  • Act as the Team Lead for the onsite I-9 BAL team members and any temporary team members.

  • Review of all incoming I-9 forms and documentation, follow up will be required to ensure each I-9 is in compliance.

  • Conduct annual internal I-9 audit on active and inactive I-9’s for completeness and accuracy following federal requirements.

  • Maintains and files all I-9 for proper record keeping.

  • Provide daily/weekly reports on I-9/E-Verify processes to client.

  • Assist in the development of educational materials, including but not limited to presentations and Q&As.

  • Ensure entry of all I-9 data into the E-verify system within 3 days of start date.

  • Perform E-verify process on new hires and rehires to ensure employment eligibility.

  • Investigate and ensure proper notifications are delivered in a timely manner for all discrepancies with E-verify results; following escalation process to ensure compliance.

  • Monitor E-Verify exceptions to final resolution and communicate to appropriate parties.

  • Respond to I-9 and E-Verify questions from onsite client; escalate more complex issues to BAL legal team, as needed.

    Physical Requirements:

  • Able to type and to grasp, grip, push and pull file drawers and doors

  • Able to lift up to 25 lbs of files and/or boxes

  • Ability to travel locally and domestically to visit client site locations


  • 3-5 years of experience as a paralegal specialist, human resources, corporate immigration, or similar work experience

  • Extensive knowledge of Form I-9’s, E-Verify and Form I-9 audit processes required

Minimum Education Level:

  • Bachelor’s degree and/or Paralegal Certificate

  • Directly related experience will be considered in lieu of the degree
