The Payroll Coordinator plays an important support role with oversight responsibility for all aspects of payroll processing for a multi-state 1,600+ employee base. The position is responsible for the preparation, audit, documentation, disbursement and reporting of hourly and salary payroll, and ensures that all processes are compliant with federal, state and local agencies.
Critical aspects of the Payroll Coorinator’s contributions are maintaining high standards of integrity, accountability, transparency and compliance with regard to internal policies and procedures, government regulations and agencies, and other external agencies. This position works as a key member of the Human Resources Operations Team. Strong relationships with stakeholders involving employees, all levels of corporate and operations business managers, executives, and members of the Finance Department are critical to success in this role.
Basic Qualifications/Preferred Skills & Knowledge:
Minimum Year(s) of Experience: 4 to 10 years of experience, preferably with at least 1 year of direct experience with payroll administration and accounting
Minimum Degree Required: High School Diploma or GED
Degree Preferred: Associate's degree or Bachelor's degree
Must be able to demonstrate Microsoft Office Suite (Word, Excel PowerPoint) proficiency levels consistent with the firm's standards with advance Excel skills
Demonstrated ability to:
Ensure accurate and timely processing of semi-monthly and special Payrolls for all employees in multi-state locations
Oversee continuous improvement for all Payroll processes including status changes, garnishments, direct deposits, etc.
Work closely with Human Resources to ensure all data is transmitted properly for employees’ timely and accurate pay
Update payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/ division transfers.
Oversee preparation of required reports for federal, state, and local government agencies
Coordinate all reporting activities including ad hoc projects
Possess strong accounting systems skills including experience with managing administrative functions and/or system implementation experience
Possess experience with Ultimate Software
Possess a working knowledge of tax regulation, tax reporting in all states
PTO, missed hours, including severance payouts
Year end processing and issuance of W2’s
Maintain files and documentation thoroughly and accurately, in accordance with company policy
Assist with GL inquiry as needed
Testing system upgrades and working with IT to ensure continuity
Work closely with tax vendor to assure compliance
Demonstrated ability to:
Have a holistic understanding of accounting payroll
Communicate effectively verbally and in writing
Interact with employees and vendors in a professional manner
Work with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.
