This position provides medical administrative support to the outpatient clinics and is an integral member of the clinic team to effectively carry out day-to-day administrative operations of the clinic. The incumbent is responsible for accurate appointment management and the coordination of all administrative information between the professional staff and the patient.
Schedule appointments and utilize the Electronic Waiting List accurately in a timely manner.
Reviews active/pending consults, Electronic Wait List, Recall list and audio-care communications for accuracy and disposition. Reviews schedules and ensures clinic slots are managed appropriately to maximize capacity making schedule changes, as necessary.
Ensures that all necessary health/administrative information are integrated into Computerized Patient Record System (CPRS) through scanning hardware and Vista Imaging software.
Maintains effective communication with patient, interdisciplinary team, and outside providers, when necessary.
Processes first party requests for medical records and third party requests from non-VA providers.
Assists in developing and revising patient education materials, forms and protocols/standard operation procedures.
Maintains accurate record keeping of daily clinical activities, including but not limited to information for scheduling, My Healthy Vet, recall and no shows.
Promotes effective communication within the Dental team through the use of email, meeting minutes, bulletin boards announcements, Medical Center Memorandums, Joint Commission/OIG/OSHA requirements, and Dental clinic standard operating procedures.
Screen/receive phone calls in a courteous and timely manner.
Participates in the development of clinical reminder indicators and evaluation criteria, collecting continuous quality improvement data, monitoring outcomes, and initiating corrective actions.
Participates in huddles or meeting with other interdisciplinary members to manage and plan patient care/flow.
Conducts patient/employee interviews, observes workflow, guides patients through hospital system, inputs referrals, documents complaints, provides follow-up and suggests resolutions to supervisor.

Posses six (6) months experience of clerical, office, or other work that indicates the ability to acquire the particular knowledge and skill necessary to perform the duties of the Medical Support Assistant OR Successfully completed one (1) year above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (TRANSCRIPTS REQUIRED) OR Successfully completed a combination of post high school education and experience as described above.
Grade Determinations:In addition to the Basic Requirements above, you need to meet the grade determinations below. Grade Determinations GS- 6: Must have at least one year of specialized experience equivalent to the next lower grade level (GS- 5) in federal service and can perform the following KSAs: 1- Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations. 2- Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives which may include preparing reports in various formats and presenting data to various organizational levels. 3- Advanced knowledge of the technical health care process as it relates to access to care. 4- Advanced knowledge of managing a clinic which includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. 5- Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process. 6- Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

The full performance level of this vacancy is GS- 6.
Physical Requirements:The majority of work is performed in an office setting, primarily while seated. The position requires some standing, ambulation, bending and carrying of items such as training manuals. In addition, there can be increased stress due to the intensity of a patient/customer complaint or concern.
