Job Purpose:

Provide secretarial and administrative support to 1 Global Head MD and a team of 3 lawyers in London and ancillary support to team members in New York, Hong Kong, Tampa, Belfast and Mumbai, on a full time basis.

Job Background/context:

ICG Legal Loans is a global team which provides legal coverage and support for Citi’s private-side loans businesses around the world.

Key Responsibilities:

  • Extensive diary management in Outlook

  • Arranging internal and external meetings and conference calls

  • Setting up Global video conferences with the use of Citimeet

  • Preparing presentations in Microsoft PowerPoint, Word etc.

  • Extensive booking of travel through Concur

  • Organising detailed travel itineraries

  • Managing expenses for the whole team

  • Telephone and visitor screening and assistance

  • Recording the teams holiday in the system (CTMS)

  • Logging tickets with IT and CRS and following them up accordingly

  • Filing, archiving and retrieval of files

  • Any other ad hoc duties as required

  • You should be a Senior Executive Assistant with experience working in a large, service orientated organization, preferably with legal secretarial and financial services sector background


  • Advanced MS Outlook/Word/Excel/PowerPoint

  • Excellent administrative/secretarial skills

  • Good presentation skills

  • Efficiency, accuracy, attention to detail, methodical and excellent organisation skills essential

  • The ability to work in a pressured environment, helping to meet the requirements of demanding clients.

  • Team player

  • Excellent communication skills and able to work with colleagues located in many different countries and from different cultural backgrounds

  • Providing fast and efficient turnaround of tasks

  • Adaptable, flexible and open to change


  • Executive Secretarial background

  • Well versed in office administration and a good command of the English language, grammar and spelling.

  • Secretarial qualification desirable, but not essential


  • Ability to work with limited direction

  • Flexibility and positive “can do” attitude

  • Excellent interpersonal and verbal communication skills

  • Good time keeping

  • The ability to juggle a multitude of different tasks and remain calm when working under pressure
