THIS ANNOUNCEMENT WILL BE USED TO FILL THE FOLLOWING VACANCIES: Positions may fall under Primary Care or the Health Administration Service One (1) Supervisory Float Medical Support Assistant, to supervise staff at the Bennington/Keene/Rutland/Brattleboro CBOCs Two (2) Supervisory Medical Support Assistants, to supervise staff at the White River Junction VAMC

The incumbent is responsible for supervising Medical Support Assistants in support of maximizing clinic operations and patient scheduling.

Responsibilities

Provides the full range of administrative and supervisory duties which include assignment of work, performance evaluations, selection of staff, recommendation of awards and/or advancements for medical support assistants, and identifies educational or training needs.

Assigns and evaluates the work of subordinate staff and resolves complex problems to ensure patient services are met.

Run daily reports to assure workload credit for clinics, ensure compliance with facility standards and assure progress notes are entered by providers for each encounter and that the encounter form is properly filled out.

Trains providers and administrative staff to reduce future errors and therefore avoid loss of workload and revenue to the facility.

Performs analytical studies related to clinical management, including but not limited to, statistical analysis of patient encounter data, clinic no show rates, appointment utilization, utilization and reporting new/transfer patient intake.

Incumbent utilizes reports and data analysis methods to measure the progress, efficiency and effectiveness of operations and recommends, and at times independently implements, ways to simplify, improve or elevate the quality of services and processes.

Collaborates, communicates, and demonstrates outstanding customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations

Takes disciplinary action when appropriate and makes recommendations for improved operations.

Manages fiscal matters, forecasts resource and equipment needs, and identifies budget needs.

Qualifications

Basic Requirements: * United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Grade Determinations: GS-7 Supervisory MSA

Experience. One year of experience equivalent to the next lower grade level.

Assignment. Supervisory MSAs plan and direct programs at medical centers and/or satellite outpatient clinics and have full supervisory responsibility. Assignments at this level include, but are not limited to: assigning and evaluating the work of subordinate staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems in order to make recommendations for improved operations; identifying educational or training needs; making final decisions on selections; evaluating performance, and taking disciplinary action when necessary. The employee has full administrative and professional responsibility for planning and directing the MSA's activities. Responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time.

(c) Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:

  1. Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.

  2. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations.

  3. Ability to provide briefings, orientations, staff development and training.

  4. Ability to delegate authority, evaluate and oversee people and programs, accomplish program goals, and adapt to changing priorities.

Physical Requirements:The work is primarily sedentary, however, there may be some walking, standing, bending and transporting items under 20 pounds.
