Job Description Summary
Reporting to the Business Manager MDS, Africa, the Sales & Marketing Assistant is responsible to support the business in the facilitation of customer orders and in particular co-ordination between the end user, the distributors and the warehouse.
Creating & Tracking Sales Dashboard by Key Account and Channel (Business Analytics)
Creating Performance Dashboards IMS/Impact Rx
Assist with Demand Planning and stock management
Assisting with Tender management process
Confirm Pricing on orders before sending to Europe for Processing.
Create and/or update Pricing Files and confirming prices with customers and Europe.
Process Orders and create Quotes to various customers through email, fax and telephone.
Liaise with distributors/customers on daily basis with product queries, prices, orders deliveries. Follow up on orders placed.
Liaise with customer service in Europe with regards to what is in planning, what still needs to be invoiced/shipped, back orders etc.
Handle all related customers service queries.
Ensure documents are filed and department expenditure is tracked.
Sales and Marketing Support. Utilizing systems such as Cognos to generate sales reports as well as UTI client zone stock management systems.
Make local and international travel arrangements, including ticket issuing, arranging visa application forms, preparing invitation and employment letters and arranging all ground bookings for our international delegates.
Organizing conferences and meetings both locally and internationally when needed. This includes liaising with conference facilities for Venue, Accommodation, Pick ups, Restaurants etc.
Support other businesses when needed. Support Switch board. General office administration support.
EDUCATION AND QUALIFICATIONS
A Bachelor’s degree preferable in customer service, marketing or administration disciplines or commensurate work experience, preferable in marketing or administration roles. However other administrative / business related qualification would be considered, dependent upon professional experience.
PROFESSIONAL SKILLS AND EXPERIENCE
Graduate / Post Graduate degree specializing in Marketing
0-2 years experience in the role of administration or Sales and Marketing Support.
Be able to demonstrate proven success in development of advanced spreadsheets.
Experience in first line customer contact.
Experience within the medical devices and/or pharmaceutical environment.
Experience in working for an international company with European reporting systems will be an advantage.
Experience in arranging meetings/conferences and events and making travel arrangements
Experience with MS Office and Advanced PowerPoint and Excel skills required
Well developed Organizational ability
