What You Will Do

As an Associate with Ascension, you will have the opportunity to performa variety of administrative duties to support the assigned department(s).

Responsibilities:

  • Composes, types and transcribes correspondence, forms, reports, presentation materials and other written communications as required.

  • Receives and screens visitors and telephone calls, and handles general inquiries.

  • Schedules/coordinates meetings, conferences, special events, appointments and travel arrangements.

  • Maintains assigned calendar(s).

  • Establishes and maintains filing systems. Orders and stocks supplies.

  • Processing on a timely basis travel expense reports, timecards, check requests, requests for invoice payments.

  • Composing correspondence ensuring 100% accuracy of spelling and syntax.

  • Managing the mail (incoming, outgoing and email) and time sensitive deadlines by sorting, prioritizing and communication with Leaders.

  • Keeping an up-to-date computerized address book of contacts that is coordinated with phone, PDA and laptop computer access.

  • Supports Managers/Departments as required.

  • Coordinates and makes appropriate arrangements for meetings, conferences, and workshops (both in the office and off-site) including travel, lodging, meals, etc., for attendees; when applicable, prepares and coordinates meeting materials, presentations and audio/visual materials; monitors expenditures.

  • Communicates and interacts effectively with visitors/vendors and Ascension Health staff, as required.

  • Performs other duties as assigned.

What You Will Need

Education &Work Experience:

  • High school diploma or equivalent is required.

  • Post high school education and training is preferred

  • Two years work experience demonstrating secretarial skills, including proficient use of office equipment is required.

  • Computer capabilities in word processing, spreadsheets, and presentation software are required.

  • Excellent attention to detail, communication and grammar skills are required, along with the essential ability to function independently, professionally and efficiently.
