Senior Engineering Coordinator
(DC Metropolitan transit experience preferred)
This is office engineering work involving responsibility for the administrative and technical support activities. Performs varied administrative office functions, maintains contract records, plans and specifications, and related engineering and administrative records and supervises office staff. The position reports to a client manager. Coordinates the flow of technical documents (requisitions, data books, drawings, specifications, calculations) between project operations, engineering disciplines, and other related support groups. Prior document control experience on engineering projects enables the incumbent to handle all aspects of engineering document coordination from beginning to end of a project.
Maintains full familiarity with plans, specifications, construction schedules and contractor's plans on assigned contracts, and, current safety regulations. Disseminates information to office and field staff and internal stakeholder offices as required.
Establishes and maintains job record files for assigned projects. Reviews contractor's Critical Path Method or bar chart progress schedules as applicable and maintains current, marked-up copies of such schedules. Coordinates schedule and progress reviews. Prepares and distributes schedule and progress reports based upon projected and actual completion dates for assigned contracts.
Assists construction inspectors and contractor’s representatives inclarification of contract drawings and specifications relative to assigned contracts. Assists in reviewing contractor's claims determining merit of claims and negotiating cost and /or time adjustments based upon such claims. Prepares change orders and contract modifications in accordance with established procedures. Assists in preparing cost and/or time estimates for pending change orders and contract modifications.
Reviews and processes contractor's submittal of shop and working drawings and material samples and distributes as required. Returns submittal to the contractor with appropriate comments and approval status. Disseminates information pertaining to submittal to the field staff, as required.
Ensures that pre-established requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.
Maintains an established data distribution system and schedule for the assigned project based upon client, project, and supplier requirements. May revise system or schedule as required to ensure timely approvals and distribution.
Expedites review, signature approval, and release of supplier and internally produced project documents.
Establishes and maintains files and computerized indexes for active engineering documents. Generates electronic/hardcopy reports as needed by the project or management.
Prepares transmittals for engineering documents and requisitions.
Arranges document cataloging, packing, and long-term storage or disposal of appropriate engineering documents at time of project closeout.
Attends project meetings, as needed, to give status of requisitions or other documents and to be kept current on project status.
Experience with the local transit agency and local transportation agencies is desired
Must be able to read and interpret plans and specifications and be thoroughly familiar with construction-related processes related to the area of assignment
Must be able to communicate clearly both orally and in writing; to follow oral and written instructions, prepare written messages and simple charts and graphs
Requires the ability to communicate clearly and interface effectively with a diverse group of professionals
Excellent computer skills with working knowledge of MS Word, Excel, Access. Requires proficiency in the use of computers and software packages needed to support the documentation, analysis, and retention of inspection records. Client uses Procore as their project management and document control software. Familiarity with similar project management and document control software packages is required; Familiarity with Procore is preferred
Knowledge of scheduling (Primavera P6 is preferred)
High school diploma (or equivalent) and 8-10 years of relevant work experience, including 3-5 years of prior document control experience on an engineering project.
Local transit experience strongly preferred
US experience strongly preferred
Proficient keyboard skills and a working knowledge of MS Windows and related word processing, spreadsheet, and database software is required. Some assignments may require a working knowledge of EDMS (Electronic Document Management System) and DMCS (Document and Material Control System), as well as a working knowledge of CAD operations. An understanding of how to identify and handle drawings and other technical engineering documents is also required. Good written and oral communication, organizational, and interpersonal skills, as well as a demonstrated ability to interact effectively with project personnel and management.
