Key Job Responsibilities:
Responsible for coordinating, prioritizing, and managing the Business President’s time/calendar/activities/travel plans, including independently responding to requests on behalf of leader.
Serve as the primary contact point to the President of Feedstocks & Energy as well as other global leaders within the envelope.
Assist in planning and coordination of F&E Global Leadership Meetings: coordinating/distribution of meeting materials to team; coordinate accommodations/ground; liaison with hotel staff for meeting room – food/beverage planning – A/V staff; coordinate dinners and team activities.
Work closely with C-Suite admins in coordination of meetings/travel as pertaining to activities/projects relating to the Feedstocks & Energy business.
Lead projects within the organization such as communication events, awards, and recognition and annual performance feedback activities.
Handle highly confidential information regarding business, personnel and customer/supplier relationships.
Provide systems administration for various applications used in the function such as travel approval, surveys, and tracking of metrics.
Process monthly expense reporting with accuracy and detail for business president.
Work as group focal point for implementation of new technology within the department.
Works closely with Delegation of Authority point of contact for updates to the DoA database.
Coordination of file share content and access.
Manage all aspects of leader’s calendar including personal appointments and travel.
Process timely payments of Bloomberg invoices; other PO and non PO invoices.
Coordinate closely with IHS liaison in all aspects of CERA and IHS conferences in Houston for the business president and other business leaders.
Set up meetings for visiting F&E leaders as needed.
Maintain ITO approvals for foreign national leaders in F&E.
Coordination of travel/presentations/speaking details with global conference contacts for business president, i.e., Oxford Seminar, Global Forum, etc.
Minimum of 3 years of administrative experience is required.
Maintain confidentiality, get along with everyone even in tough situations.
Build and maintain relationships with a diverse group of people.
Proficiency in Microsoft applications, such as Word and Excel, and have the ability to learn new systems quickly.
Strong written and verbal communication skills.
Good interpersonal skills are required.
Must have strong multi-tasking, problem solving and time management skills.
Demonstrate leadership skills - inspire others and lead them through influence.
A self-starter who can identify, prioritize and accomplish multiple tasks.
Must be able to read, write, and speak English
A minimum of a High School Diploma or GED is required.
Associate’s degree in Legal, business or related field OR 4+ years military experience preferred.
