Job Title: Coordinator, Content and Production

Business Unit: Turner Broadcasting

Department: Kids, Content and Creative

Location: Hong Kong

Reports to: Production Manager, Original Productions

Primary purpose of position

Reporting to the Production Manager for Original Productions, the Coordinator position provides executive support to the content and original productions team based in Hong Kong. The position serves as the primary point of contact for internal and external stakeholders (direct reports, employees, clients, business partners, etc.) on all matters pertaining to the content, content operations and production teams in Hong Kong. The role also serves as the primary liaison among senior management teams located in Tokyo, Seoul, Sydney, Taipei, Singapore and Hong Kong. In addition, the candidate will also organize and coordinate executive meetings, extensive travel arrangements, and external relations effort and oversees special organization or multi-department projects.

A secondary responsibility will be to assist the VP for Kids Content (based in Singapore) and the VP for General Entertainment (based in Hong Kong) on travel arrangements, meetings and any other duties where assigned.

Essential job functions:

Content and Production coordination

  • Schedule meetings, book rooms, prepare meeting notes and minutes

  • Assist in the preparation of screenings, presentations and submissions of awards, festivals

  • Distribute materials and assets to related parties and collate feedback

  • Handle distribution of legal contracts including mailing, scanning and dispatching

  • Handle procurement procedures for production team including liaising with procurement team to set up new vendors

  • Assist in coordinating content and acquisitions screenings for the kids and GE teams, where required

  • Process production invoices and follow up with accounting department on payments

  • Manage metadata in the Broadcast Management System

  • Assist program ops team on preparing list for glossary list

  • Compile materials and assets from vendors

  • Managing the department admin/discretionary (T&E) budget including but not limited to forecasting, approvals, and accruals

  • Consolidating Hong Kong based senior management group (SMG) updates from the content department for the monthly SMG for VP of Kids

  • Administer Finance/Accounting, IT, HR, and screening room staff permissions for new hires in the Content Department in addition to distributing desk procedures as needed during on-boarding

  • Manage internal new hire orientation presentation materials on a quarterly or bi-annual basis as per HR New Hire Orientation days

Project management

  • Effectively manage an extremely active calendar of appointments; prioritize conflicting needs; handle matters expeditiously; proactively follow-through on tasks/projects to successful completion

Communications

  • Process communications to the VPs including telephone calls and email messages, if required, and providing assistances using independent judgment to determine those requiring priority attention

  • Receive and distribute incoming mail; review and evaluate mail to identify those items requiring priority attention; composing and preparing correspondence that is sometimes confidential; arrange complex and detailed travel plans, itineraries, meetings, agendas and conferences. Some attendance to required meetings with clear, concise minute taking

Executive Assistance

  • Provide executive support to VP of General Entertainment based in Hong Kong, ensuring effective communication and confidentiality at all times

  • Represent executive offices in a professional manner to all clients and related business partners. Effective coordination and scheduling of meetings, appointments, travel and conferences

  • Refine office procedures and processes handling all sensitive information. In addition, the role will also assist the VP of Kids Content, based in Singapore on supplemental support where required

Person specification:

  • Mature with good analytical mind, with impeccable attention to detail;

  • Must be a great team player with a high level of maturity and able to co-ordinate a high-powered management team while building consensus;

  • Organizing own work, coordinating projects, setting priorities, meeting deadlines and following up on assignments with a minimum of direction

  • Meticulous and detail oriented

  • Can act and respond efficiently to special tasks and requests with a deadline

  • Good and tactful communication skills required for dealing with various parties (both internal and external)

  • Strong organizational and communication skills

  • Self-starter, responsible, systematic and able to work under pressure

  • Mature and ability to work and correspond clearly and independently

  • Good all-round local knowledge and practice
