Job Description Summary:

The Accounts Payable Agent will ensure that all approved invoices are coded and paid accurately and on a timely basis. As a General Cashier will ensure that daily deposits are completed and balanced on a timely basis, that cashier due backs are reconciled and returned to cashiers, and that a regular count of cashiers’ banks is conducted.

Job Description:


v High school graduate or equivalent.

v College degree in accounting preferred or equivalent business experience.

v Knowledge of computerized accounting system.

v Strong knowledge of spreadsheets.

v Good time management skills.

v Knowledge of Windows, Microsoft Word and Excel.

v Ability to communicate effectively.


  1. Process invoices for payment by checking invoices to purchase orders and receiving records and ensuring that the appropriate approval is given as set forth.

  2. Prepare documentation necessary to set up invoices for payment.

  3. Balance batch totals to ensure proper coding and amounts.

  4. Prepare expense checks and manual check requests on a timely basis and prepare them for signature.

  5. Maintain accounts payable vendor filing.

  6. Responsible for filing computer reports (i.e. purchasing journal and check register) in a timely manner.

  7. Ensure checks are issued with proper authorization.

  8. Reconcile vendor statements on a monthly basis or as necessary.

  9. Resolve vendor inquiries.

  10. Consolidate and prepare the house cash deposit for the previous day prior to the arrival of armored car service.

  11. Report and follow-up on all cashier overages and shortages.

  12. Balance on a daily basis the house bank and ensure that there is adequate change for the cashier’s needs.

  13. Audit cashier bank’s and ensure that there is a signed copy of a bank contract on file for each cashier.

  14. Reimburse employees for petty cash in accordance with company policy.

  15. Prepare monthly journal entries.

  16. Prepare daily over and short reconciliation and distribute daily.

  17. Prepare check request for reimbursement of petty cash funds weekly.

  18. Post and adhere to window hours.

  19. Prepare cash report daily for the Controller.

  20. Copies of deposit slips given to Assistant Controller daily.

  21. Count safe with Assistant Controller weekly.

  22. Compliance to deposit schedule as required.
