Blue Cross Blue Shield of Michigan Administrative Assistant to Director in Detroit, Michigan





*Provide administrative assistant support services to the director, exercising discretion and maintaining confidentiality in handling work objectives. *

Schedule appointments and meetings (includes WebEx meetings), maintain calendar and assure all required information is prepared for scheduled appointments and meetings. Prepare, type, edit, and proofread general correspondence including memos, letters, Excel spreadsheets, e-mails, corporate forms, and presentations, etc. Provides comprehensive support for meeting preparation and attendance including preparing meeting agendas and distribution, ordering food and supplies, taking meeting minutes, arranging schedules, reserving conference rooms and equipment, setting up equipment, and coordinating travel arrangements. Handles documents requiring director approval. Copies, faxes, mails, distributes department documents and materials, and orders office supplies. Maintains a departmental office supply inventory. Coordinate machine repairs. Assist in the preparation of annual administrative budgets. Tracks and monitors expenses throughout the year. Tracks equipment in department including changes, upgrades, etc. Other duties as assigned.


  • High school diploma or GED certificate required.

  • Secretarial or business courses preferred.
  • Associates degree preferred.
  • Two (2) years of experience in administrative/secretarial capability required.
  • Excellent verbal and written communication & grammar skills including the ability to develop outlines, prepare reports, and compose business letters from outlines and notes required.
  • Excellent telephone etiquette required.
  • Typing speed of 45 wpm with 95% accuracy required. Verified via testing.
  • Intermediate knowledge of Microsoft Word, Excel, and PowerPoint required. Verified via testing.
  • Knowledge of Access and Vizio preferred.
  • Excellent interpersonal skills including the ability to interact with internal and external customers and all levels of the organization required.
  • Excellent organizational skills with the ability to handle multiple projects and timelines required.
  • Ability to type correspondence in an accurate manner required.
  • Proven ability to handle and maintain confidential information required.
  • Possess qualities of integrity, sound judgment, and initiative required.
  • Other duties as assigned.


  • Ability to think strategically and have keen ability to anticipate the needs of the Director and supporting staff.
  • Flexibility in schedule to accommodate occasional business need fluctuations.
  • Demonstrated project coordination experience. *Includes coordination and set-up of staff moves.*
  • Excellent interpersonal skills necessary to interact with all levels of internal and external customers, union staff, and all levels of the organization.
  • Excellent organizational skills with the ability to handle multiple projects and timelines required.
  • Ability to work with minimal supervision.
  • *Proficient in utilizing Microsoft Excel Pivot tools, including manipulating and creating spreadsheets and formulas. *
  • *Advanced knowledge of Microsoft Outlook, including navigating and managing calendars preferred. *
