Duties andResponsibilities

  • Manage an active calendar of appointments,understand priority / urgency, and reorganize appropriately

  • Expedite handling of correspondence, globale-mail requests and phone calls while maintaining a high level of discretionand communicating professionally in writing and verbally across all levels ofthe company and externally

  • Utilize MS Office products (Word, Excel,PowerPoint) and other technology to prepare, modify and proofread presentationmaterials, organization charts, reports and letters

  • Complete various assignments as requested withminimal supervision, including meeting planning, floor and emergencycoordinator duties, badging administration, external vendor support, andspecial projects

  • Maintain records, confidential files and GMspecific reports

  • Schedule complex meetings and maintain multiplecalendars

  • Continuously look for ways to improveefficiencies of day to day tasks

  • Support travel arrangements, Visa, Passport andassociated expense reports

  • Manage all aspects of office administrationusing independent thinking and judgment with sole discretion for officeprocedures

  • Monitor required corporate learning and followup with appropriate leaders when compliance is not met.

  • Make discriminating decisions regarding thedistribution/flow of information and work

Basic Required Qualifications:

  • Associates degree or equivalent experience

  • Experience dealing with Senior Management / Executives in an administrative capacity

  • Demonstrated planning and organizational skills

  • Demonstrated analytical skills

  • High level of interpersonal skills

  • High level of problem solving ability including independent judgment and decision-making skills

  • Advanced level of proficiency in COE software (MS Word, Excel, PowerPoint, scheduling, internet, Outlook, and knowledge of SharePoint)

  • Demonstrated knowledge of grammar, spelling and punctuation

  • Familiarity with ILM policies and procedures and ability to carry out ILM activities

  • Highly proficient oral and written communication skills

  • Demonstrated ability to take initiative and work independently
