Job Summary

As the Bid Manager for the E&GE Business Line, you will manage the bid process for Expressions of Interest Statements of Qualifications and Capability Statements-Pre Qualification Questionnaires, Tenders and Fee Proposals.

Working closely with others in the bid team under direction of the Lead Bid Manager, you will lead on bids and improve the quality, by ensuring that the responses are compliant and compelling and hit all of the criteria specified by the client and that the CVs put forward are appropriate and in line with bid requirements.

You will ensure a streamlined process for efficient communication and collaboration of the bidding and technical teams to produce the deliverables within the timescales agreed.

You will be responsible for devising a bid programme, agreeing key deliverables, managing inputs from Subject Matter Experts and driving progress through to successful submission. You will work collaboratively with E&GE technical leads, members of the End Market teams and the Business Unit Director for the Business Unit that you have been assigned to.

As the Bid Manager, you will be involved in all steps from capture management and win strategy development, through the Pre-Qualification Questionnaire (PQQ) and proposal submission to interview/presentation preparation and debrief sessions. You will provide consistency through the entire process, responsible for sharing lessons learnt and driving continuous improvement in our process and bidding efforts.

Key Responsibilities:

Develop the requirements for each bid in a clear and easy-to-understand way

Manage and maintain version control for bid documents and issue them to the appropriate functions for response/review/signature in line with the bid programme

Instil a culture where others share knowledge, insights and learning

Promote the use of AECOM’s bid processes and tools

The development, preparation and production of winning bids, proposals and submission documents, often managing multiple bids at any one time

Assisting in the preparation of major bids and proposals particularly with regard to content collation, graphics preparation, print production and delivery/dispatch

Liaising with colleagues across the UK, EMIA and globally for cross country and/or cross discipline bids

Ensuring all bid governance procedures (Go/No-Go, legal and commercial review, tender boards, etc.) are completed

Ensuring all stages of the bid management process (planning, preparation, reviewing, refining and finishing) are completed

Planning and leading bid development workshops for the creation of win themes, messaging, programme outlines, answer-planning and story-boarding

Providing and/or obtaining creative writing input to bids and maintaining overall control of editorial content, including liaison with project teams as necessary to develop engaging and compelling client-facing messages

Managing submissions via client e-procurement sites including downloading enquiry documents, checking for clarifications and uploading queries as well as the final submission

The continuous improvement and raising of proposal document standards in terms of visual image, style and content

The preparation of presentations (including general, sector and project specific), placemats and interview packs for post tender interviews

Prepare and share client information (understand the clients requirements/needs)

Additional responsibilities:

Information Management – Proposals

Normal duties will include:

To ensure best-in-class and exemplar proposals and proposals information is identified and captured to our central repository systems

To help maintain effective control over the quality and accuracy of FAQs and bid-related Q&As

To help maintain effective control over the detail, quality and validity of all policies, procedures and certificates as aligned to proposals

To help with the capture, uploading and updating of project data and the creation of new project case study sheets as required. This will include identifying, obtaining, selecting and/or creating suitable high quality graphics and imagery

To support the Business Unit Directors with additional Business Development tasks (CV enhancement, PowerPoint Presentations etc.)

Minimum Requirements

  • experience progressive

  • Bid writing skills

  • Strong understanding of the work the Business undertakes

  • Demonstrable experience managing bids, and overseeing bid delivery.

  • Demonstrates creativity, foresight and mature judgment in responding to bids and proposals.

  • Ability to leverage relationships within the bidding and technical teams to positively impact the bids you are working on.

  • Good interpersonal skills including relationship building and communication at all levels and work collaboratively across the business; listening to other points of view while still being persuasive.

Preferred Qualifications

  • Typically degree qualified

  • Experience in Environmental consultancy

  • APMP Foundation Certification

  • Marketing qualification/experience

  • Experience of working with InDesign
