Summary

The Senior Facilities Manager exercises discretion and independent judgment while working under the general direction of the Chief Administrative Officer, the Chicago Office Administrator and according to established Firm policies and procedures. The Senior Facilities Manager is responsible for providing the overall management and direction of facilities in the Chicago office by planning, organizing, and directing the activities and staff involved in the maintenance, operation, and modification of all facilities and equipment within the Firm. The Senior Facilities Manager will assist the Chief Administrative Officer with special projects that may include new construction or remodeling of Katten offices nationwide. The Duties and tasks are frequently non-routine. Actively supports and focuses on client, attorney, and staff needs and requirements. + Manage the activities of the Facilities Department staff, which include repairing and maintaining Firm?s facilities and handling inventory control of the Firm?s furniture, equipment, and supplies.

+ Inspect facilities and equipment to determine need and extent of service, type of equipment required and number of operation and maintenance personnel needed.

n

+ Ensure the day-to-day maintenance, operation, repair/modification, and support of the physical aspects of the Firm including, but not limited to, plumbing, painting, ceiling, carpeting, doors, pop dispensing machines, and furniture including maintaining inventories and coordinating distribution.

+ Prepare and monitor Facilities Department budget, reviewing and approving invoices.

+ Prepare monthly reports on costs related to preventive, scheduled, or special maintenance. Maintain and update maintenance and facilities records. Compile records of labor and material costs to provide to management.

+ Supervise and manage all new construction and remodeling projects for Katten offices nationwide; which may include the coordination of office relocations. Plan, budget, and schedule facility modifications and renovations, including building space allocation and layouts and estimates on equipment, labor, materials and other related costs.

+ Provide recommendations on facility requirements and obtain bids/project estimates for additional work from outside contractors if necessary. Oversee and direct contracted projects to verify adherence to specifications.

+ Purchase maintenance supplie , equipment, and furniture.

+ Develop and maintain facilities safety and security programs. Work with Human Resources in satisfying ergonomic requirements. Ensure compliance with safety regulations, security requirements, and building codes.

+ Oversee internal office moves by directing facilities clerks or contracted movers with relocation of furniture.

n

+ Oversee and coordinate the set up and take down of furniture, platforms, podiums, audio/visual and teleconferencing equipment, etc. for meetings, seminars, and social functions whether Firm or client-sponsored events.

+ Coordinate, oversee, and perform and/or assign facilities clerks to duties such as minor maintenance/construction, repair or renovation projects, etc.

+ Report to building engineers or property management with space issues (i.e., lights out, temperature checks, trash removal, new keys, liquid spills, conference room clean up, etc.).

+ Manages the Office Services (mailroom/copy service) function.
