The Marketing Administrative Operations assistant will focus on supporting the Marketing team in the tactical implementation of the annual marketing plans and in the day-to-day operations of the Marketing department.

Essential duties and responsibilities


  • Assist the Marketing teams in the day-to-day management of marketing related project tasks

  • Manage the marketing department’s Amex card and expenses

  • In coordination with Sales Administrative assistant, manage marketing/sales area floor operations: printer paper, kitchen supply and maintenance, etc.

  • Coordinate internal and external meetings, including invites, security access approvals, materials, food needs, dinners, special events, etc.

  • Support marketing team when there are needs to send packages

  • Manage product sample requests and ensure timely distribution

  • Welcome outside guests for meeting when there is no receptionist at front desk

  • Manages digital brand assets on Kwikee platform (once or twice a year)

  • Collaborate with Sales Administrative assistant for National Sales Meeting event planning.


  • Set-up new vendors in SAP system

  • Manage the establishment of POs and the processing and logging of invoices in SAP

  • A&P Support for the brand teams: processing invoices

  • To progressively support the team in the analysis of the budget throughout the year.


  • Manages the relationship with Stafford Communications, our consumer calls center vendor – marketing to be the key contact

  • Create new tools with Stafford to track performance

  • Investigate opportunities to bring consumer affairs to a marketing opportunity.


  • Manage CMO’s calendar, meeting requests, travel schedules, etc.

  • Prepare CMO’s expense reports; reconcile statements to ensure all expenses have been captured

  • Pick-up, sort and deliver CMO’s mail

  • Help CMO screen phone calls and emails from potential vendors

  • Help welcome and register internal and external visitors

  • Proactively prepare materials for daily needs; for example – agendas, daily calendar, volume reports, meeting decks

  • Occasional creation and development of PowerPoint presentations

  • Occasional management of IT ticket request and follow-up

  • Be the marketing Bel values ambassadors and coordinate the management of large team and agency meetings and other general team gatherings

  • Coordinates welcome events for new employees (breakfasts, etc.) and contribute to their good integration.

Qualifications and Competencies

  • Ability to work in dynamic environment and openness to expanding and changing job responsibilities

  • Energetic personality, with strong interpersonal communication skills

  • Skilled in high attention to detail and accuracy

  • Skilled in managing multiple tasks/projects along with the ability to work in a fast paced team environment in a self-directed manner

  • Ability to adapt to rapidly changing business circumstance and have the ability to thrive in a constantly changing business environment

  • Strong sense of ownership and initiative, collaborative and flexible attitude, with ability to execute tactics to support strategic plans

Minimum Degree and Experience Required:

  • Experience working with SAP

  • Proficient in Microsoft Office Suite

  • Minimum of 3 to 4 years of relevant experience

  • Bachelor’s degree is a plus

Working Conditions: Work is performed largely in an office environment. Hours of work will generally be during regular business hours with at least 40 hours a week. At times there will be some variation in work hours due to special projects, deadlines and other concerns. Occasional travel may be required.
