The Benefits manager is responsible for administration of employee benefits in all company operations. As needed, this position provides special guidance and assistance to all locations on various employee benefit plans. This position develops, recommends and installs approved, new or modified plans and employee benefits policies and supervises administration of existing plans. This position develops cost control procedures to assure maximum coverage at the least possible cost to company and employee.

Essential Functions

  • Administers employee benefits programs such as retirement plans; medical, dental, vision plans and wellness programs; life insurance plans; temporary disability programs, LOA and other benefits.

  • Evaluates and compares existing company benefits with those of other employers by analyzing other plans, surveys and other sources of information. Plans, develops and/or participates in area and industry surveys. Analyzes results of surveys and develops specific recommendations for review by management.

  • Meets with benefits broker along with Sr. Director Total Rewards throughout the year to continually assess current benefit offerings and makes sure best in class benefits are continuing to be offered.

  • Develops specifications for new plans or modifies existing plans to:

  • Maintain company's competitive position in labor market, and

  • Obtain uniform benefits package for all company locations, where possible.

  • Recommends classes of eligible employees for new or modified plans and develops census data

  • Works closely with benefit broker to solicit insurance companies for quotations and ensure annual renewal runs smoothly

  • Supports the Sr. Director Total Rewards in evaluating quotations and making recommendations to management. Develops company cost information for new plans and makes premium cost share recommendations to management.

  • Holds annual Open Enrollment meetings to inform HR Business Partners of all benefit changes and new offerings for the upcoming plan year.

  • Installs approved new plans or changes to existing plans by preparing announcement materials, plan summary documents and other media for communicating plans to employees. Conducts employee meetings and arranges for enrollment. Advises and counsels management and employees on existing benefits.

  • Prepares and executes, with legal consultation, benefits documentation, such as original and amended plan texts, benefit agreements and insurance policies. Instructs insurance carriers, trustees and other administrative agencies outside the company to effect changes in benefits program. Ensures prompt and accurate compliance.

  • Manages annual 401(k) and Health & Welfare audit processes.

  • Works with HRIS team to assist in maximizing all products offered by Workday.

  • Assures company compliance with provisions of ERISA, the ACA, HIPAA, COBRA, QDRO’s and others. Supervises preparation of reports and applications required by law to be filed with federal and state agencies, such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies (5500 filings, non-discrimination testing, Annual Funding Notices, SARs, state medical programs, etc.). Reviews and analyzes changes to state and federal laws pertaining to benefits and report necessary or suggested changes to management. Coordinates company benefits with government-sponsored programs.

  • Manages benefits documentation, as required -Plan Documents, SPD’s, Plan Amendments, etc.

  • Develops benefits information and statistical and census data for actuaries, insurance carriers and management.

  • Leads data mining/health and welfare intelligence data gathering so that the business can analyze cost, utilization and trends and then recommends changes to maximize its financial resources.

  • Reviews cost, quality and other indicators measuring and improving vendor performance and participant satisfaction.

  • Manages the benefits portion of the HRIS to ensure compliance with benefits plans and programs.

  • Engages in the development and implementation of wellness initiatives and disease management programs to achieve long term trend management.

  • Develops procedures for and manages compliance with FMLA regulations.

  • Collaborates with other team members and Payroll to ensure accuracy of associate data and functionality of electronic data interfaces with vendors.

  • Supports the Sr. Director Total Rewards with special projects as appropriate, including but not limited to benefit vendor conversion, RFP’s, dependent eligibility audits, acquisitions and divestitures.

  • Manages vendors and programs associated with the delivery of benefit programs in Canada.

  • Handles escalations related to benefits inquiries and complaints to ensure quick, equitable, courteous resolution.

  • Supervises maintenance of enrollment and claims records for all benefits plans.

Supervisory Responsibility

This position manages 3 benefits specialists.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Required Education and Experience

A bachelor's degree and 5+ years of experience in Benefits and Wellness administration

Preferred Education and Experience

  • CEBS Certification a plus

  • Experience with Workday implementation a plus

  • Experience with self-insured plans preferred

  • Excellent Problem-Solving Skills

  • Excellent Presentation Skills

  • Excellent Organizational skills

  • Proficient in the knowledge and use of MS Office (Word, Excel, Outlook, PowerPoint)
