ADMINISTRATIVE ASSISTANT II, Picower Institute for Learning and Memory (PILM)-Flavell and Heiman Labs, to perform diverse financial and administrative duties for two faculty members and their research laboratories. Responsibilities will include managing complex scheduling and travel itineraries; maintaining office and laboratory supplies and overseeing the ordering of equipment; supporting the financial and transactional needs of the lab and PIs; providing administrative assistance to support PI’s involvement in complex and multifaceted initiatives; processing and tracking purchase orders; processing accounting documents; maintaining systems to allow for easy retrieval of materials; assisting with lab-related searches, facilitating the scheduling of interviews, and ensuring that search documentation is sent to PILM HR; assisting with the preparation of lab documentation; typing and proofreading correspondence; handling confidential financial information; making meeting arrangements; calendar management; helping organize research meetings with visitors and colleagues including arranging catered meals; planning and executing laboratory events; helping to create and maintain lab-associated website; helping to coordinate data storage and backup; working with headquarters' staff on gathering information for all personnel transactions; distributing mail; and handling additional duties as requested.
REQUIRED: at least three years’ relevant experience; excellent customer service, organizational, interpersonal, and communication skills; close attention to detail; ability to exercise good judgment, take initiative, manage multiple tasks simultaneously, work both independently and as part of a team; and discretion with confidential information/issues. Must be proactive in learning MIT tools and systems available through Atlas for buying, travel, and reimbursements. Advanced-level proficiency with Google Docs, Google Calendar, SAPweb, Microsoft Office, Excel, PowerPoint, Outlook, Adobe Acrobat, and web publishing preferred. A bachelor’s degree and basic proofreading and copy editing skills also preferred. Job#16846-512/5/18
