Dana-Farber Cancer Institute Business Services Coordinator - Clinical Planning and Network Operations in Brookline, Massachusetts

The Business Services Coordinator plays a key role in the development and oversight of major services provided to Dana-Farber Cancer Institute (DFCI)’s regional affiliate relationships, which include members of the Cancer Care Collaborative (“Collaborative”) and other affiliated providers, hospitals, and health systems. The Business Services Coordinator is often the first point of contact for all collaborative and regional affiliate sites who want to refer new patients to DFCI. In this role, the Business Services Coordinator provides administrative support and coordination for all aspects of new patient referrals and shared care from existing affiliated sites. This position also supports DFCI affiliate-facing programs and initiatives such as network case conferences and grand rounds, and will take on a number of other administrative responsibilities to support the collaborative membership model and affiliate sites.

  • Provides administrative support and coordination for all aspects of collaborative and regional affiliate-focused programs; such as network tumor boards, grand rounds, site assessments, symposium / educational events, and clinical staff shadowing.

  • Serves as central new patient referral concierge for collaborative and regional affiliates sites:

  • Monitors network referral email box and e-fax

  • Assembles referral information and records and routes to appropriate Longwood or satellite new patient coordinators

  • Maintains centralized tracking tool for all referrals received

  • When necessary, efficiently routes calls to Longwood or satellite new patient coordinators per telephone triage guidelines

  • Collaborates with Longwood or satellite new patient coordination team to ensure seamless handoffs of collaborative and regional affiliate site calls

  • Coordinates Telemedicine Consult service

  • Receive initial case outreach email from vendor to DFCI expert

  • Manage operational dashboard that tracks all open cases with DFCI experts

  • Tracks data (i.e. cases reviewed at tumor board, cases completed, etc.)

  • Follow up with all DFCI experts to ensure timely delivery of cases

  • Work with vendor care coordinator to confirm insurance coverage and availability of DFCI expert

  • Track treatments, infusions, etc.

  • Provide vendor care coordinator with after care summaries

  • Receive monthly reports from vendor with total number of cases completed and total amount for each physician

  • Complete DFCI payroll documents monthly and send annual reimbursement amount for each physician payment

  • Manages and attends weekly network case conference program

  • Works with physician Disease Center Liaisons to develop annual schedules for each disease center (Breast, GI, GU, Thoracic, Hematologic Malignancies)

  • Develops and distributes case agendas for each conference

  • Manages Webconference/Videoconference technology for meetings

  • Maintains central tracking of case conference participation and volumes

  • Manages scheduling, invoicing, and payment activities related to network tumor boards, network case conferences, physician payments, and annual memberships/dues

  • Works closely with DFCI Business Development team to support other new business and early relationship development initiatives and events as needed.

  • Supports the scheduling and planning of assessments of potential regional affiliates

    • Note: One or two days a week employee will be required to work until about 6:30 pm and start as early as 7:00 am but hours for week would total 40.
  • Associates degree required, Bachelor’s degree preferred.

  • 2+ years of administrative and/or customer service and healthcare experience preferred

  • Must have a strong attention to detail and possess the ability to multi-task and problem solve on the spot

  • Excellent phone and email etiquette

  • Ability to work effectively as a team member and promote cooperation among staff members.

  • Excellent organizational, communication and customer service skills.

  • PC proficiency required

  • Ability to work variable shifts as noted above

  • Ability to develop in-depth knowledge or DFCI resources and key DFCI & affiliate contacts

  • Excellent communication and writing skills.

  • Demonstrated excellent organizational, communication and interpersonal skills; must be able to multi-task.

  • Demonstrated ability to draft correspondence and basic administrative documents as needed.

  • Proficient in necessary computer skills.

  • Demonstrated ability to work independently.
