Program Coordinator - Office of Workforce Development

MUST BE BI-LINGUAL

Responsible for day-to-day administrative, project coordination and office management. This position is the face of the department and provides support to employees with human resource concerns and community members seeking employment. The role of the WFD Project Coordinator requires strong organizational skills and strong interpersonal skills i.e. the ability to build relationships with people from diverse ethnic, cultural, educational, and socioeconomic backgrounds. The WFD Project Coordinator is responsible for the day to day general office management.

Responsibilities:

Project & Program Coordination

  • Assists with the coordination and implementation of WFD programs and initiatives (Youth Summer Program, College Intern Program, SUCCESS, )and other training, special events and community projects as needed.

  • Assist employees with the use of the computer terminal in signing on to personal account

  • Assist non-employees with intake forms and online application process

  • Manages the input & reporting of program data through ETO

  • Manage front desk log book by tracking visitor demographics in ETO.

General Office/Administration Responsibilities

  • Greet and engage persons seeking support

  • Develop and manager an office supplies tracking system & order supplies as needed.

  • Forward employee documents to Human Resource compliance team as needed.

  • Book conference room and order supplies/food for events.Maintains and supports office database and paper filing system.

  • Answers and screens incoming telephone calls and routes appropriately.

  • Manage front desk voicemail and route appropriately.

  • Opens, sorts, and distributes mail and answers routine correspondence or requests, including office e-mail boxes

Working hours: 9:00 AM - 5:00 PM

Skills:

--Strong interpersonal and organizational skills are essential.

--Ability to work with people from diverse ethnic, cultural, educational, and socioeconomic backgrounds.

--Ability to work under pressure and in a busy office setting with many distractions.

--Experience in project management.

--Customer Service skills are essential.

--Excellent writing and verbal communication skills

--Database management skills necessary.

Qualifications:

  • 2-3 years administrative, project and/or office management experience.

  • Competency in MS Word, PowerPoint, Excel,.

  • Bachelors degree preferred.

  • Fluent in Spanish
