Job Description:

This unique position requires a highly skilled and multifaceted individual who will support all internal and external constituents in the full cycle procure-to-pay function at Eaton Vance. This role will also be responsible for assisting, training, and trouble-shooting issues for all internal (employees) and external (vendor) clients.

This role requires a person with strong organizational and operational skills for a high volume environment, with a strong understanding of internal controls. This individual will contribute to the development and vision of a world-class source-to-pay function within Eaton Vance and will report to the Assistant Vice President, Accounts Payable and Travel Services Manager.

Key Procurement Responsibilities:

  • Firm wide point person for requisition validation including, but not limited to: proper documentation/support, approved vendor, budget validation, expense coding, duration of request, etc.

  • Work with internal and external clients to ensure “failed” requisitions are corrected and re-processed in a timely manner

  • Responsible for on-going firm wide P2P system training to all levels (administrative through senior executives)

  • Work closely with Procurement buyers to ensure timely execution of PO’s upon contract execution

  • Primary contact for internal and external clients, assists in troubleshooting, as well as issue and billing resolution (billing or otherwise)

  • Collaborate with Finance ERP team to design and modify P2P reports to ensure continued accuracy and to help create efficiencies for all constituents

  • Actively manage the monthly Open Purchase Order report, validation of activity and confirmation process to ensure active management of purchase orders, proactively keep purchase order current and close purchase orders that are completed

  • Run weekly purchasing (error-in-process, saved, etc) reports and resolve all outstanding PO issues

  • Daily validation of pending requisitions in P2P system for proper audit back up, supplier name, PO value ($), etc.

  • Work with end users to ensure timely monthly confirmations are complete

  • Manage the month end close process for the P2P system

  • Other responsibilities as assigned

Key Accounts Payable Responsibilities:

  • Manage the vendor onboarding process through the P2P vendor portal and process/approve new vendor documentation, ensuring the Company has a valid Form W-9 or W-8 for all active vendors where necessary

  • Work with the Accounts Payable team to ensure timely processing of PO related invoices

  • Assist in the administration of the expense management system (Concur), including set-up of new users and employee training

  • Prepare yearly federal and state Information filings (i.e. 1099, 1042)

  • Other responsibilities as assigned

Job Requirements:

  • College degree required, understanding of accounting concepts

  • 6+ years’ of related experience in a diverse procurement/accounts payable function

  • Excellent communication skills (written and verbal) as well as strong active listening skills

  • Strong interpersonal and organizational skills, able to foster strong relationships internally and externally

  • Strong computer skills, including MS Office and ERP software (SAP experience a plus)

  • Works independently, ability to manage multiple priorities, and reprioritize required

  • Creative problem solver adaptable to change

  • Knowledge of IRS Information Reporting rules a plus and ability to research as required

  • Occasional travel to affiliates may be required
