Summary:

Facebook is seeking a highly-motivated individual to lead global process automation and efficiency. This role will sit on the Global Admin Program team, and will partner closely with the Admin community to design, pilot and roll out new processes. This is a unique opportunity to build and shape the evolution of administrative support at Facebook on a global level.

The scope of this role involves interacting with executive client groups, specifically Finance and Legal, and requires an ability to advise and influence various internal teams across the business. This person will need to be comfortable executing in a fast-paced environment, be highly organized, have strong communication skills, and be able to structure and sequence year-over-year planning across multiple work-streams.

Success in this position requires strategic thinking, leadership, communication and analytical experience, as well as the ability to effectively work with cross-functional groups.

Required Skills:

  1. Collect and evaluate data on current Admin planning processes for events, offsites, swag and more, and determine needed adjustments to processes and budgeting

  2. Research, test and implement new strategies and templates with Admins for event and offsite planning, with a focus on economies of scale

  3. Negotiate and centralize vendor contracts and continuously manage, evaluate and review current vendor repositories managed by Admins

  4. Evaluate and build centralized headcount management practices for Admins, including forecasting, incremental growth, contingency headcount and related data and reporting

  5. Update, manage, and oversee the travel and expenditure guidance for Admin-managed company events, swag and travel

  6. Review, evaluate and determine needed adjustments and changes to company policies, including but not limited to: Admin staff travel, budgeting for team expenses

  7. Create and distribute communications for the company that outlines and explains various changes, programs, guidelines and policies

  8. Work closely with Finance and Legal to implement and stabilize changes to company policies and guidelines

  9. Work with Programs and Operations to generate metrics/analytics to track efficiency, consistency, and errors

  10. Develop standard processes and support implementation of tools/dashboards that can be scaled centrally

  11. Attend and facilitate, team and functional meetings as needed

  12. Support collecting, analyzing and integrating feedback into project work-streams

  13. Serve as subject-matter expert to field questions from partners and employees

  14. Capable of exercising independent judgment and discretion while utilizing company policies and practices to determine appropriate action

Minimum Qualifications:

  1. 5+ years of experience in an operational or project management role

  2. Experience prioritizing multiple projects

  3. Experience with Microsoft Office, including Excel

Preferred Qualifications:

  1. BA/BS

  2. Administrative Services, Recruiting Services, Vendor Outsourcing or People Operations experience

  3. Experience in problem solving and providing business insights and recommendations from data sets

  4. Proven stakeholder management experience, including managing multiple partners simultaneously

  5. Ability to work independently, manage multiple concurrent projects and drive initiatives in a cross-functional environment

  6. Experience extracting data from large/complex databases

  7. Experience in data visualizations and building scalable reporting tools

  8. Vendor management experience
