ESSENTIAL FUNCTIONS: Coordinates calendars, meetings, and other activities with other governmental agencies, executives, and organizations on behalf of an agency executive. Provides administrative and technical assistance to the Fiscal division. Assists with daily filling of payment vouchers and documents. Responsible for the scanning of invoices. Responsible for the creation and distribution of receiving reports. Communicates administrative policies, procedures, standards, and methods. Assists in the planning or preparation of reports, correspondence, studies, forms, manuals, and publications. May communicate agency objectives, tasks, and decisions to staff on behalf of an executive. May coordinate and prepare administrative assignments, programs, and other administrative matters within a program, division, or agency. May provide assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff. May prepare notices or agendas for meetings and hearings. May assist the executive with general human resource management actions. May assist in budget preparation. Serve as the divisions Asset manager. Performs related work as assigned. MINIMUM QUALIFICATIONS: Five (5) or more years of administrative experience preferably in a Fiscal Division or related experience. Higher education may be substituted for experience on a year for year basis. Graduation from an accredited four-year college or university with major coursework in business administration or related field is generally preferred.
