The Executive Assistant is responsible for providing high-level and complex administrative support for senior level management in our Legal Department.
Duties and Responsibilities:
Coordinate executive communications, including taking calls, responding to emails and interacting with clients
Identifies, enhances and follows processes and procedures to maximize the efficiencies of the business and department.
Acts independently to develop solutions when unexpected situations or challenges arise.
Tracks ongoing and upcoming projects and deadlines for each area reporting to executive and provides updates and status reports regularly.
Researches, prepares, and edits reports and documents for review and presentation to leaders and other areas of the organization.
Distributes reports and regular communications on behalf of the leader and department.
Maintains confidential and sensitive information.
Schedules meetings and appointments and manages travel itineraries.
Serves as back-up for Executive travel
Ensure compliance with company training courses and provides executive level reporting each quarter
May help plan Company events, meetings, team building activities or special projects.
Collaborates with other administrative staff to execute responsibilities efficiently and effectively.
Education and Experience:
7+ years of experience in administrative support for an executive in a corporate environment
High School Diploma, some college preferred in Business or Communications
Communication – Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive and accurately interpret ideas, information and needs through the application of appropriate communication behaviors. This includes the ability to describe or explain complex processes and issues in a concise manner
Time management – Demonstrates efficiency and persistence, managing own time and ensuring engagement deadlines and objectives are met
Professional ethics – Adheres to Aaron’s key policies, practices and procedures; applies ethical principles and values to the requirements of the role. Strives for quality and excellence and encourages others to do the same
Attention to Detail – Ability to process detailed information effectively and consistently
Planning and Organizing – Ability to determine goals and priorities and to assess the actions, time and resources needed to achieve those goalsAdvanced Microsoft Office skills with ability to become familiar with Company specific programs and software
